Wedding Guest List Spreadsheet: Track RSVPs Without Losing Your Mind

The columns that matter

The two numbers you'll be asked for constantly

Confirmed headcount=COUNTIF(RSVP,"Yes") — and meal counts=COUNTIFS(RSVP,"Yes",Meal,"Fish"). With those live, the venue call and the caterer email become read-offs instead of recounts.

Working the pending list

Around 2–3 weeks before the RSVP deadline, filter to Pending and start friendly nudges. Expect 10–20% of guests to need one — it's normal, plan the time for it. A tracker that surfaces "Pending" as its own count turns chasing RSVPs from a guilt spiral into a checklist.

A realistic attrition note

Planners commonly see roughly 10–20% declines, higher for travel-heavy lists. Don't invite 150 assuming 150 — but don't over-invite banking on declines you can't afford either. Watch your live "Yes" count against your venue cap as responses come in.

One list, one owner

Decide who owns the spreadsheet (you, partner, planner) and let everyone else suggest changes. Duplicate half-updated copies are how cousins end up without a chair.
